1.1 These Terms and Conditions (“Terms”) govern your use of Book My Gym services operated by Park Farm Bristol Limited (company number 12411696), a company registered in England and Wales with registered office at Elton Farm, Wells Road, Dundry, Bristol, BS41 8NQ (“we”, “us”, “our”).

1.2 Book My Gym provides private gym facility rental services by the hour with 24/7 self-entry access via our online booking platform.

1.3 By booking our services or using our website, you agree to be bound by these Terms. If you do not agree, please do not use our services.

1.4 We may update these Terms from time to time. Any changes will be posted on our website and will apply to bookings made after the update date.

2.1 We provide hourly rental of our private gym facility located in Chew Valley, Bristol, including access to professional fitness equipment and facilities.

2.2 Our services include:

• Hourly gym facility rental
• Self-entry access via electronic access control
• Use of gym equipment and facilities during booked hours
• Online booking and payment platform
• Package deals and membership options

2.3 All bookings are subject to availability and must be made through our official booking platform.

3.1 Age Requirement: You must be at least 18 years old to use our services. By booking, you confirm you meet this requirement.

3.2 Account Registration: You must create an account to make bookings. You are responsible for:

• Providing accurate and complete information
• Maintaining the confidentiality of your account details
• All activities that occur under your account
• Notifying us immediately of any unauthorized use

3.3 User Categories: We serve different user types with specific pricing:

• Personal Trainers (PTs)
• Individual users
• Small groups (2-4 people)
• Family and friends (with admin-applied discounts)

BY USING OUR SERVICES, YOU DECLARE AND AGREE THAT:

4.1 Fitness Declaration: You are physically fit and healthy enough to use gym equipment and facilities safely without supervision or instruction.

4.2 Medical Conditions: You have no medical conditions, injuries, or physical limitations that would make gym activities unsafe or inadvisable.

4.3 No Induction Provided: You understand that no induction, instruction, or supervision is provided, and you are using all equipment entirely at your own risk.

4.4 Equipment Competency: You are competent in the safe use of all gym equipment you choose to use, or you will not use equipment you are unfamiliar with.

4.5 Need for Induction: If you require instruction or induction on equipment use, you agree to contact us at contact@bookmygym.co.uk before your session.

4.6 Assumption of Risk: You voluntarily assume all risks associated with gym activities, including but not limited to:

• Personal injury or death
• Property damage
• Risks from equipment malfunction
• Risks from your own actions or negligence

4.7 Waiver of Claims: You waive any claims against Park Farm Bristol Limited, its directors, employees, or agents for any injury, loss, or damage arising from your use of the facility.

5.1 Advance Booking: Bookings can be made up to 3 months in advance through our online platform.

5.2 Booking Confirmation: Your booking is confirmed when you receive email confirmation with your unique access code.

5.3 Multiple Bookings: There is no limit on the number of simultaneous bookings you can make.

5.4 Pricing: Current hourly rates and pricing structures are displayed during the booking process.

5.5 Facility Closure: We reserve the right to close the facility for maintenance, emergencies, or other operational reasons with reasonable notice where possible.

6.1 Current Rates: Hourly rates are displayed during booking and may vary based on user type and package options.

6.2 Package Options:

• Block bookings
• Monthly memberships with discounted hourly rates
• Pricing displayed during booking process

6.3 Payment Processing:

• All payments processed securely via Stripe
• Payment is required at time of booking
• We accept major credit and debit cards

6.4 Credits and Packages:

• Purchased credits never expire
• Credits are non-transferable between accounts
• Package terms are as displayed at time of purchase

6.5 Pricing Changes: We reserve the right to change our pricing with reasonable notice. Changes will not affect existing bookings.

7.1 Free Cancellation: You may cancel bookings free of charge if cancelled more than 4 hours before your scheduled session start time.

7.2 Refund Method: Cancelled bookings are refunded as account credits, not cash refunds.

7.3 Late Cancellation: Bookings cannot be cancelled within 4 hours of the session start time.

7.4 No-Shows: If you fail to attend your booked session, no refund or credit will be provided.

7.5 Our Cancellation: If we need to cancel your booking, we will provide full refund to your original payment method or account credits as preferred.

8.1 Access Codes: You will receive a unique access code valid only for your booked time slot.

8.2 Access Timing: Access codes are only valid during your booked hours and will be automatically disabled afterward.

8.3 Facility Rules:

• Use equipment safely and responsibly
• Clean equipment after use
• Report any damage or safety concerns immediately to contact@bookmygym.co.uk
• No smoking, alcohol, or illegal substances
• Keep noise to reasonable levels
• Respect the facility and equipment

8.4 Group Bookings: For group sessions, all participants must have accounts and agree to these Terms.

8.5 Security: The facility is monitored by security cameras for safety and security purposes.

9.1 Our Liability Limits: Our total liability to you for any claim is limited to the amount you paid for the specific booking in question.

9.2 No Liability For:

• Personal injury or death (except where caused by our negligence)
• Loss or damage to personal property
• Indirect, consequential, or special damages
• Equipment malfunction or failure

9.3 Your Responsibility: You are fully responsible for your safety and actions while using our facility.

9.4 Insurance: We maintain £2 million public liability insurance, but this does not limit your assumption of risk under these Terms.

10.1 We process your personal data in accordance with UK data protection law and our Privacy Policy.

10.2 By using our services, you consent to our collection and use of your data as described in our Privacy Policy.

10.3 We use your data to provide services, process payments, communicate with you, and comply with legal obligations.

You must not:

• Use the facility if under 18 years of age
• Share access codes with unauthorized persons
• Use equipment unsafely or beyond your competence level
• Damage or misuse facilities or equipment
• Engage in illegal activities on the premises
• Breach any facility rules or safety requirements

12.1 Your Rights: You may close your account at any time. Unused credits will remain available for use.

12.2 Our Rights: We may suspend or terminate your account if you breach these Terms, engage in unsafe behavior, or misuse our services.

12.3 Effect of Termination: Upon termination, your right to use our services ends immediately.

13.1 Email Communications: We will send booking confirmations, reminders, and important notices to your registered email address.

13.2 SMS Notifications: You may receive SMS reminders 10 minutes before session end.

14.1 Entire Agreement: These Terms constitute the entire agreement between you and us.

14.2 Governing Law: These Terms are governed by English law, and English courts have exclusive jurisdiction.

14.4 No Waiver: Our failure to enforce any right does not constitute a waiver of that right.

14.5 Assignment: You cannot transfer your rights under these Terms. We may assign our rights with reasonable notice.

15.1 These Terms do not affect your statutory rights as a consumer under UK law.
